How TRACView Works
TRACView provides law enforcement agencies with a total, no cost solution to managing and selling reports using the latest imaging and web application technologies. Using a powerful web based document management system as the backend, TRACView turns your department's accident and crime reports into electronic documents that can then be sold to insurance companies, citizens and any other entity you wish. We provide simple solutions for managing your accident reports regardless if they are stored on paper, in an imaging system or in e-report format.



Getting Reports Into TRACView
TRACView provides several upload options, all free to your agency, that will simplify your life and save your records personnel time. Below are our current solutions:

Paper Reports
We provide you with a free high-speed, duplex scanner that can be connected to any Windows based PC. Using our free TRACScan software, you simply scan the reports and upload them to us. Depending on the number of reports you deal with on a daily basis, the entire process can take as little as 10 minutes a day. Within 24 hours, your accidents are indexed and available for purchase by insurance agencies and citizens.

Imaging Systems
If your agency uses an existing stand alone or enterprise imaging system we can interface with it. Our free TRACSend application can be installed to automatically send us a copy of each accident report you upload into your imaging system. This means that each accident report is only scanned one time, yet is delivered to both your imaging system and TRACView. In other words, after your IT staff implements our free automation software, no further work is required by your staff to send accident reports to TRACView. It's all done automatically for you.

E-Reports
If your agency is one of the growing number of departments in America who has adopted an e-report, we are ready for you! TRACView will seamlessly accept a copy of each e-report from your agency, compile it into a digital image and make it ready for sale on the TRACView system, usually within minutes of being uploaded.


Report Publishing
Once your reports are received by one of the methods listed above, our Total Accountability process begins to prepare the reports for publishing. For scanned reports, the first step is to extract the index information from the report. This index information is what is used to search and locate a report by the end user. Since handwritten text is extremely hard to recognize electronically, we use human eyes to read and record each index field. This process, though time consuming, is a critical step in making reports searchable. TRACView uses state of the art indexing methodologies to achieve the highest possible indexing accuracy.

Once the reports have been indexed, they are then published to our live servers, immediately available for purchase. If your reports are uploaded to our server by 5:00 PM, we can have them available for purchase by 8:00 AM the next morning. This means that we can have your reports available within 24 hours of being scanned by your staff.


Report Compensation
TRACView fully compensates you for every report viewed. You determine the fee that is charged for each report and we collect that fee for you. On the 15th of each month, we provide you with a check and a consolidated statement that details the reports uploaded and sold during the previous calendar month. If you ever decide to change your fee, we can begin collecting the new fee immediately.

TRACView handles all fee collection efforts for you. We incur the costs for all credit card transactions and bill the insurance companies for you each month. If an insurance company is slow to pay or does not pay at all, you still get paid for each view.


TRACView Investigative Tools
In addition to driver names, we also index the names of each passenger that was in the car at the time of the accident. Your investigators will appreciate being able to search this huge driver and passenger database for associate comparisons. TRACView also allows your department staff to search across other agencies using TRACView. This basically connects all agencies together and allows for inter-agency searching. This is helpful to law enforcement agencies who are Homeland Security conscious.


TRACView's Convenience Fee
In order to provide all these powerful, cost saving services to your department, a convenience fee is added to the cost of the report and paid by the end user at the time of purchase. This convenience fee covers the cost to host your reports, manually index them, process credit card payments and provide toll-free support to your staff and the end user.

This fee has been widely accepted by both insurance companies and private citizens due to the benefits that our service offers them.

Insurance Companies
Insurance companies love using TRACView because it makes their job so much easier. We provide them with a consolidated bill at the end of each month with a list of each report they downloaded during that month. We also require them to provide a claim number when they purchase a report that makes it easy for them to link the report fee back to the accident claim they purchased it for.

Studies have shown that purchasing a $5 report through the mail can cost an insurance company more than $25 by the time you factor in the time involved with filling out a report request, getting a check cut, mailing the request, then waiting several weeks for the report to arrive. Using TRACView, an insurance company user can login and purchase a report within a few minutes, allowing them to process the claim quickly and efficiently.

Private Citizens
Citizens love using TRACView because it is very convenient for them. They no longer have to drive downtown, find a parking space and pay a meter, stand in line, then rush back to work before their lunch hour is over. With TRACView, they can just go to our secure website, day or night, from work or home and purchase their report using their credit card.

For those citizens who do not want to pay the convenience fee, they still have the option to pay your normal report fee at your records department window. TRACView can also be used by your staff to service these requests at no charge to you or the citizen. Your records personnel can login to TRACView, find the report and print it to sell to the citizen.
