TRACView is a secure, Internet based application that was developed to help law enforcement agencies manage and distribute traffic accident reports more efficiently. TRACView is also designed to give insurance companies and private citizens fast and convenient access to the reports they need. This is accomplished through a web based interface using the latest in imaging and web enabled document management technologies.
Nothing. TRACView is provided to your law enforcement agency at no cost. In fact, if your department is not currently scanning reports into an imaging system or generating them electronically, we will provide your department with a high capacity color duplex scanner at no cost. Again, there is no procurement fee for this scanner and your department is free to use the scanner for other purposes as well.
No. We have a basic service agreement that is signed by your Chief or Sheriff. The service agreement basically states that either party may cancel the agreement at any time with 30 days written notice. The service agreement also states that if the department should choose to discontinue TRACView within the first year we simply ask for the scanner to be returned to us. If there is a cancellation anytime after one year, the scanner will remain yours.
Our service agreement can be modified to meet your legal department's specifications. Just let us know what changes you feel need to be made and we will seek approval from our end.
No. Once the program has been approved within the department TRACView can be implemented in 30 minutes.
For those departments that do not currently image reports it is a simple matter of installing the scanner we ship you (takes 10 min.), downloading the TRACScan program onto a computer (takes 5 min.) and running a test batch (takes 5 min.). Once the records staff is trained in how to scan and then pull up reports (takes 10 min.) the process is complete.
For the departments that already scan or image reports electronically into an imaging system, TRACView provides you with automation software called TRACSend which works directly with your imaging system saving you the hassle of scanning each report twice (once to your imaging system and once to our server). TRACSend works with most imaging solutions on the market today.
It will vary. We simply add a $5 convenience fee to the amount your agency wishes to be reimbursed for each report. This fee helps offset our costs for hosting and indexing the data as well as billing and customer service. TRACView maintains a toll free customer service help line for you, insurance companies and private citizens to use anytime help is needed.
All the major insurance companies are already using TRACView to access reports. Insurance companies love the easy access to accident reports 24 hours a day, 7 days a week. Instead of having to wait several weeks or months, accident reports are available for purchase from TRACView within 24 hours after your staff uploads them to us.
Also, instead of writing individual checks for each accident report requested, insurance companies receive one consolidated bill each month which includes all the accident reports accessed that month. In most cases the insurance companies end up saving money in processing fees by only writing one check each month.
Coupled with the time savings of accessing the reports online, as opposed to requesting reports through the mail, and the convenience of consolidated billing, insurance companies are quickly learning the benefits of TRACView.

No, you will still receive $5.00 for each report from TRACView, and you can continue to sell accident reports to citizens at the front counter using TRACView and charge the citizen your standard fee.
Yes. We reimburse your agency for all of your reports that are viewed through TRACView.
We will send you a check on the 15th of each month. A report is included that indicates the number of accident reports that were uploaded during the previous calendar month along with statistics on how many reports were purchased by each major user type (insurance companies, private citizens and legal firms if you choose to service them through TRACView). It is important to note that TRACView pays you for every report downloaded even if the user is slow to pay us for a report.
Yes. If a citizen chooses to request reports in person you can still service those requests at your normal fee. Your records department staff can even use TRACView to find and print the report being requested.
No. We do ask that you set a date that insurance companies must use TRACView to purchase reports and then return all report requests received from insurance companies after that date. This is accomplished by sending an announcement letter to each insurance company notifying them you are going to be switching to TRACView on a specified date. After the cutoff date has passed, your staff can send them another form letter reminding them that all reports must now be purchased through TRACView. We will provide you everything you need to make this transition smoothly, including sample form letters.
Please keep in mind that any accident report viewed online results in a reduced work load for your records clerks as well as faster service to the insurance companies and citizens.
If they cannot find a report in TRACView they are provided with two options. They can email the TRACView support staff and we will help them locate the report they are looking for. They can also call our toll free support number and we will assist them over the phone. If the report is not in TRACView yet, we will advise them to search again in a day or two. We work very hard to handle the support requests ourselves and keep your staff from having to deal with that burden.
Yes, we will provide your road commission department with free access to your reports.
TRACView has implemented a powerful total accountability system that tracks every report as it securely moves through our preparation process. From the moment your reports are scanned, they are encrypted and monitored for safe delivery. We monitor how long it takes to get from your PC, through our indexing team and then to the publishing server. The entire process usually takes less than 24 hours.
If your reports are scanned and uploaded to us by 5:00 PM, we typically have them available for purchase by 8:00 am the next morning. The total turnaround time is usually less then 24 hours.
Yes, TRACView indexes the injury codes from your accident reports. We have also created a special login and search tool for attorneys so they can purchase up to a months worth of injury accidents from your agency. Servicing legal firms is completely your decision and is not activated until you instruct us to do so.
In most cases we can easily take and index your private property forms. We can also provide your agency with a standardized private property accident form to use if you need one.
Yes. TRACView was built on a powerful document management system. We know exactly who has viewed every report within the TRACView system. We can tell you who has viewed a report and take a report offline if necessary.
